If you are importing data for the first time, you will first need to set up your custom ALEKS reports. You can do so by following these instructions. After you have set up your custom ALEKS reports, proceed with the instructions below for importing data.
To import data first open ALEKS in a new tab. Navigate to your first ALEKS class and click on Reports > Custom Reports.
If you have created a recurring report you can click Download Report on the most recently generated report. Otherwise, click on the Templates tab.
On the template you created, click Schedule Report.
Provide a name for the report (it does not matter what you name it). Change the Report Start Date to however far back you want the report to fetch data. – Generally you want this to be consistent as you generate future reports. It is suggested that you use the beginning of the grading term/quarter/semester so changes in scores throughout the term are captured.
Click Schedule Report at the bottom. You will be taken back to the Reports section where the report you just scheduled will appear at the top. Once the report has finished processing, click the Download Report link beneath it.
Repeat this for all of the ALEKS classes you are using with ALEKS2Canvas Gradebook.
**ALEKS assignments will not show up in a report if they are still open (if the due date has not passed).
Once you have downloaded the reports for all of your ALEKS classes, open your ALEKS2Canvas Gradebook spreadsheet. Select Extensions > ALEKS2Canvas Gradebook > Import Data.
A file picker dialog box will appear. Find all the reports you previously downloaded from ALEKS and drop all of them into the file picker dialog box. If you omit reports for any classes, their data will remain unaffected unless they are a part of a cross-listed course.
Click Upload. ALEKS2Canvas Gradebook will perform two operations for each course: 1. It will process the reports you uploaded and extract assignment, due date, and points data and 2. It will download a list of assignments and their data from Canvas. As it finishes importing and processing data for each course, the upper rightmost cell in the sheet will change to ⌛Import Complete. When it has finished importing data for all courses, the cell will change to ✔️Import Complete.
Toast messages will also appear in the bottom right hand corner of your browser as Canvas and ALEKS imports are completed for each course.
*ALEKS2Canvas Gradebook does not update the roster when importing data. Instead, the roster for every course is automatically updated at 5am every day. If you need to update it before then you can run ALEKS2Canvas Gradebook > Setup > Import Roster.
If there were any issues with the import, a dialog box will appear with the results.
If you have a large number of ALEKS classes, assignments, and/or students, ALEKS2Canvas Gradebook may have to break execution and you can either manually restart importing data or cancel the entire operation. Read more about breaks in execution and why they happen here.
